Find out what's hidden

Our focus for 2007 is to help you get the most of your accounting system. Too often we come across customers who are not aware of what can be achieved by switching on obscure options or with minor tweaking get quantum increases in productivity. In this our first newsletter for 2007, we'd like to introduce you to some useful tips and tricks and other things you can take on to help improve your business.

As an Axsapt Customer you will receive only 1 monthly newsletter which will provide you with valuable but concise information that will help you make the most of your accounting system.

We'll also be holding monthly business breakfast briefings at Lane Cove where we will quickly outline new modules, discuss major issues and ask for your valuable feedback so we can help shape future software releases.


Microsoft Vista is Here
Microsoft have officially released their latest desktop operating system, Vista. We have performed testing on Vista and have noticed some incompatibilities and performance issues. As such we strongly advise you not to upgrade any of your workstations to Vista until you receive written confirmation your accounting and business applications are upgraded to full compatibility with Vista.

Compatible operating systems are Windows 2000 and Windows XP Professional. You should not be using Windows ME, XP Home, 95, 98.

Tips and Tricks

Sybiz Vision
Menu Shortcuts
Did you know that commonly accessed menu options in Sybiz Vision can be setup on your own toolbar? To access this function, right click on an unused area of the Vision menu and click on Customise. Then select the appropriate function and drag it to the menu bar.

Electronic Supplier Payments
All our accounting and payroll systems automatically create the Direct Debit banking file used by all Australian Banking Software. In Vision you will find this function under the Export / Ledger Transactions / Prepare Payments File for Bank Option in the Utilities Drop Down Menu. Having to remember this all the time makes the Shortcuts tip above a real gem!

Recalculate before end of month reporting
As Vision allows you to go back to prior periods and forwards to the next period, it is good practice to recalculate balances prior to printing any important reports in the current month.

Automatic Viewer Refresh
There is now a new option in the Vision 6.0 Viewer to not require regular clicking on the Refresh button. To access this option, click on Automatically Refresh Viewer in the Preferences Drop Down Menu.


Sybiz Visipay
Leave Calculator
In each employee record in the Accruals tab there is a useful option that allows you to quickly calculate accrued holiday, sick, rostered time and long service leave as at some date including future dates.

Recalculate Balances
As the Re-calculate Employee Balances option in the Utilities drop down menu will often repair summary balance errors, we recommend running this before printing off any period end reports. Note: this function does not update current period balances, only month to date and year to date figures.


WageEasy
Background for Each Company
To help distinguish different companies, you can select a different Wallpaper background in the Preferences Option from the Setup drop down menu.

Audible Alarms
There are other useful settings in the Preferences Option including Sounding of an warning whenever there is an overdue reminder.

Tax and Leave Calculator
There are useful Tax and Leave Calculators in the Tools drop down menu that will allow you to answer employee questions without having to do complex calculations or running a report.


Advanced Business Manager
Custom Views
You can tailor the Customer/Supplier/Product Screens to include additional columns. Useful information could be added such as "Overdue" balances for Customer and Supplier accounts and product quantities for on hand and on order.

Microsoft Excel Exporting
Once you tailor your Column Views in ABM you can quickly export the results to Excel, rather than having to print reports.

Advanced Find
The advanced Finder in ABM allows you to locate virtually any transaction on a variety of criteria. Just press 'Ctrl F' from the main screen.


SAP Business One
Correcting Errors
You can Right-click on certain transactions including receipts and general ledger journals to cancel them. SAP automatically generates either the reverse of the transaction or a negative version of the original entry, whilst retaining an audit trail.

Welcome to Martin O'Brien as a First Level Support Consultant. Martin's role will be to record phone and email support requests and will ensure that issues are dealt with in a timely manner.

Congratulations to Luke Cook, who has been promoted to Second Level Support Consultant. From January, Luke will be visiting customer sites for system upgrades and new installations.

Also congratulations to Robyn Taylor who has progressed to Technical Research Manager. This role is critical to the success of the support department and includes training and mentoring staff and documenting internal procedures and complex resolution procedures.

Recent additions to the Axsapt Team include Gail O'Loughlin, who joined us in October 2006 as our Customer Service Manager, Sue Nelson, a Senior Support Consultant who commenced in September 2006 and Bernard Lugay, a Senior Software Engineer who joined us in August 2006.

 


Training Centre

The training schedule for the first half of 2007 has been set. Attending a training class at our computer lab in Lane Cove is an excellent way for new staff to get up to speed with the operation of our accounting solutions.

The Advanced Courses are recommended for experienced users who would like to extract the most from their system. We're always amazed at the comments from past attendees about not knowing that "hidden" features that would've saved hours of work each month.
